Past the Hype: How We Built VIA to Make a Real Impact

At Veoci, we view VIA as the result of a fundamental shift in how we work. It wasn’t born from a desire to chase a trend, we built it because our team got frustrated with a recurring bottleneck.

The journey began with a simple observation during our internal RFP (Request for Proposal) cycles. Our subject matter experts were rewriting and refining nearly identical responses over and over again, spending significant portions of their week manually retrieving and adapting the same security and process information. It was repetitive, time-consuming work that pulled focus away from the tasks that actually needed their expertise.

Naturally, the question came up: how can we make this easier?

At the time, AI was gaining traction, but it wasn’t yet deeply embedded in day-to-day operations. Early efforts weren’t coordinated, in fact, multiple people were exploring similar ideas in parallel without even realizing it. Two of our lead engineers, Chris McLaughlin and Adam Nowland had independently begun building AI models on their local laptops to see if they could automate repetitive knowledge tasks.

Once those efforts eventually converged, it became clear that AI could meaningfully reduce the burden. The results weren’t perfect, but they were promising enough to signal that this was worth building.

Chris and Adam moved past local prototypes. They upgraded the models, improved reliability, and scaled the infrastructure. Word started to spread and across all departments team members began brainstorming where they could benefit from some automation, the mindset shifting from if AI could help to, “How far can we take this?”

The turning point to adoption was when team members could see the tools working in very real scenarios. AI was no longer just an experiment, it became part of how our organization began to operate.

After the internal buy-in, the conversation around integrating these tools led to a crossroads regarding Veoci’s philosophy on AI. It was clear that other organizations aim to lean towards being AI-First, often prioritizing the technology over the people. Veoci’s leadership chose a different path: AI-Partnered.

Our team realized that the true value of AI isn’t in replacing human judgment, but in acting as a “thought partner.” The industry started talking about AI agents and what we’d already built fit that model.

What started as task automation began evolving into something more dynamic. We built the system to anticipate needs and orchestrate workflows. That’s what became VIA.

VIA wasn’t built in isolation, and it didn’t come from chasing trends or rushing to adopt the latest technology. It emerged from a practical need and a commitment to solving legitimate problems. It was then shaped through real-world use inside the organization and then tested, refined, and proven in the same environments where customers operate. That foundation continues to define how it works today. By starting internally, or by “eating our own dog food,” as the team describes it, Veoci was able to build something grounded in actual workflows, not theoretical use cases.
